Choosing Your Organization Admins

One of the most important decisions you'll make during implementation. The good news? It's simpler than you think.

The Role Explained

What is an Organization Admin?

Think of your Organization Admin as the manager of Navigating Life within your organization. While staff use the app every day to document services and share updates, Organization Admins keep everything organized behind the scenes.

The role is less about technical skills and more about organization, communication, and supporting your team.

They are responsible for
Managing users
Creating and organizing Groups
Supporting staff during rollout
Monitoring engagement
Helping ensure implementation stays on schedule
Great Candidates

Who Makes a Great Organization Admin?

The best admins are people who already help coordinate staff or oversee programs.

Executive Director
Program Director
QA Director
Residential Director
Clinical Director
Operations Manager
Office Administrator
IT Administrator
Our Recommendation

We Recommend Two or More Admins

While one person can manage your organization, we strongly recommend having at least two Organization Admins. For larger organizations (6+ groups), three or more admins often works even better.

Example: 3–Admin Setup
Role Primary Responsibility
Executive Director Executive oversight & reporting
Program Director Users, Groups & implementation
QA Director Quality review & engagement monitoring
This is just one example - your org's structure will guide the right split.

Do Organization Admins need to be technical?

Not at all. The role is about organization and communication, not technology. If someone already coordinates staff or oversees programs in your organization, they’re likely a great fit.

Yes — and we strongly recommend it. Having two or more admins means work can be shared, questions don’t bottle up with one person, and there’s coverage during vacations or staff changes. No problem at all. Organization Admin roles are not permanent. You can add new admins, remove existing ones, and transfer responsibilities at any time as your staffing changes.

You can always make changes. Admin roles can be added or removed easily. There’s no risk in starting with someone and adjusting later — your Navigating Life team will support you throughout.
